Data Deletion Instructions

This page explains how to request deletion of personal data held by Acronix, a messaging platform that connects to the WhatsApp Business Platform provided by Meta Platforms, Inc.
Acronix does not use Facebook Login and stores no Facebook profile data. Businesses connect their own WhatsApp Business Account through Meta's Embedded Signup flow; from that flow we retain only the account identifiers and an encrypted access token needed to send and receive messages on the business's behalf.
1. Find Your Situation
What we can delete — and who is allowed to ask — depends on how your data reached us.
A · You have an Acronix login
You are a member of a business workspace — an admin, manager, agent, or viewer. You can request deletion of your own user account: your name, email, password hash, avatar, phone number, login sessions, known devices, and notification preferences.
Note: deleting your user account does not delete the workspace's customer data, which belongs to the business, not to you.
B · You own or administer the business workspace
You can request deletion of the entire workspace: all member accounts, contacts, conversations, message history, uploaded and received media, campaigns and their delivery logs, templates, flows, automations, and the connection to your WhatsApp Business Account. Our access token for your WhatsApp Business Account is revoked with Meta and erased from our secret store.
This is irreversible and affects every member of the workspace. We verify that the request comes from an administrator before acting on it.
C · You messaged a business on WhatsApp
You have no Acronix account. A business you contacted uses Acronix to handle its WhatsApp messages, so we hold your phone number, WhatsApp display name, and the messages exchanged with that business.
For this data the business is the data controller and Acronix is only its processor, so the fastest route is to ask that business directly. You may also write to us and we will either action the request or forward it to the business and tell you which we did.
To stop receiving messages without deleting anything, reply STOP, UNSUBSCRIBE, CANCEL, or QUIT to the business on WhatsApp. This is recorded immediately and is a separate action from deletion.
D · You used our website contact form or newsletter
We hold the name, email, phone, company, and message you submitted, along with the IP address and browser user-agent captured for spam prevention — or, for the newsletter, just your email address. Ask us and this is deleted outright; there is nothing we need to retain.
2. How to Submit a Request
Email hello@acronix.in with the subject line Data deletion request and include:
- Which situation above applies to you — A, B, C, or D.
- For A or B — the email address on your Acronix account, sent from that address where possible.
- For C — the WhatsApp phone number in full international format (for example
+919876543210) and the name of the business you messaged. - For D — the email address you submitted.
Send it from the email address or phone number you are asking about. Where we cannot match a request to an account we will ask you for one further piece of confirming detail rather than delete the wrong records — we will never ask for your password.
3. What Happens Next
- Acknowledgement, within 3 business days. We reply with a reference number you can quote in any follow-up, and confirm the scope of what will be deleted.
- Verification. We confirm you are entitled to make the request. For a whole-workspace deletion we also notify the other administrators, because the deletion affects them too.
- A 30-day cancellation window. Nothing is erased immediately. Deletion is scheduled 30 days out, and you can cancel it by replying to the same thread at any point before then. This protects you against a mistaken or unauthorised request.
- Erasure and confirmation. Records are permanently deleted from our live databases and object storage — not merely hidden — and any WhatsApp access token is revoked with Meta. We email you when it is done.
- Backups. Deleted data may persist in encrypted database backups until those backups expire on their normal rotation ([retention period]). It is not restored into the live system, and a restore performed for disaster recovery re-applies completed deletions.
The whole process completes within 30 days of verification, matching the commitment in our Privacy Policy.
4. What We Keep, and Why
A small amount of data survives a deletion request because the law requires it or because erasing it would make our records unsafe. We will tell you if any of this applies to your request:
- Invoices and tax records — retained for the period required by applicable accounting and tax law, reduced to the minimum needed for that purpose.
- Security and audit logs — a record that an action occurred, retained for fraud and abuse investigation. Personal identifiers within these records are removed.
- Opt-out records — if you asked a business to stop messaging you, we keep the fact of that opt-out. Deleting it would allow the business to message you again.
- Data under legal hold — anything subject to an active legal claim or a lawful order, until that obligation ends.
Message delivery records held by Meta on their own systems are outside our control. To remove data held by Meta or WhatsApp, contact Meta directly.
5. If We Refuse
If we cannot action a request — for example because we could not verify who you are, because the requester is not an administrator of the workspace they asked us to delete, or because a legal hold applies — we will tell you in writing which reason applies and what you can do next. We will not refuse silently.
